Cancellation and Missed Appointment Policy

Respecting Your Appointment

At GreenTree Dental & Implant Clinic, we reserve dedicated time for every patient to ensure they receive the appropriate care and attention. Late cancellations and missed appointments can prevent us from offering that time to other patients who may be waiting for treatment.

We therefore ask all patients to notify us as early as possible if they are unable to attend their scheduled appointment.

1. Cancellation Notice

We require a minimum of 24 hours’ notice to cancel or rearrange an appointment.

Appointments cancelled with less than 24 hours’ notice will incur a charge equivalent to the full appointment fee.

This policy applies to all appointments, including dental examinations, hygiene visits, consultations and planned treatment appointments, unless alternative arrangements have been agreed with the practice.

2. Missed Appointments

If you fail to attend your scheduled appointment without providing the required notice, the full appointment fee may be charged.

Our reception team may contact you following a missed appointment to establish the reason for non-attendance and explain any applicable charges.

3. Dental Plan Members

We value our dental plan members and encourage them to attend their scheduled appointments to maintain their oral health.

Plan members who fail to attend or cancel an appointment with less than 24 hours’ notice will forfeit that appointment.

A forfeited appointment cannot be carried forward, exchanged for another appointment or reclaimed as part of the member’s plan entitlement. Any replacement appointment will be subject to availability and the terms of the applicable dental plan.

4. How to Cancel or Rearrange

If you need to cancel or rearrange your appointment, please contact GreenTree Dental & Implant Clinic directly by telephone on 01803559028 or through our usual practice communication channels as soon as possible.

Please ensure that your cancellation has been received by the practice.

5. Unexpected Circumstances

We understand that illness and emergencies can sometimes prevent attendance. If an unforeseen circumstance arises, please contact us as soon as possible. We will consider the situation individually when deciding whether an exception to this policy is appropriate.

6. Our Commitment to Patients

We are committed to providing reliable access to dental care and treating our patients fairly. Giving us adequate notice of a cancellation allows us to offer appointments to other patients who may need treatment.

By booking an appointment, patients acknowledge that they have been informed of this policy and the applicable terms.
